Job Summary The Officer Business & Admin – Stanbic Business Incubator Ltd will support the manager administration &operations day today operational running of the Stanbic business incubator in all its activities across the country. To actively support on the the administrative functions and requirements of the business incubator . To offer support to the accounting officer or as will be assigned by the line manager.
Key Duties and Responsibilities
Program implementation and execution
To support on the operational and administrative functions and requirements at the business incubator.
Work closely with the Manager operations in ensuring smooth running and seamless flow of all planned activities in Kampala and across the four regional centres of Mbale, Gulu, Mbarara and Hoima.
File and record all anticipated, needs and eventualities that could hinder the smooth flow of operations of the business incubator, ensuring there are substantive and reliable contingency measures to address each scenario.
Monitor and ensure the maintenance of effective operations and productivity by overseeing well organized work procedures and access to the designated premises ensuring customer and stake holder satisfaction.
Monitor the smooth running of regional hubs as co working spaces with clear workflow access schedules to enable equitable access and service delivery to customers and stake holders.
Support the documentation and filing function of SBIL of all files including policies, procedures, agreements, Memorandums of Understanding and ensure that all are maintained in secure way always keeping a copy of the digital files in the cloud.
Support the compliance function of all members and staff at the incubator and be keen to monitor and inspire compliance.
Together with the line manager manage the planning and running of events and activities that are normally outside the daily programs of the incubator.
Be responsible for all the inventory, its storage, management, maintenance and report any anticipated needs that arise in the short to medium future.
Work together with the program team and officers to identify, plan, and smoothly implement any events or occasions that require operational support especially but not limited to those outside Kampala
Where required support the Business Manage in curating or collecting documents , files , reports and or any other information that may be required.
Any other work as assigned by the line manager or the Business Manager
Risk and operational internal control support
Ensure compliance with all processes and adherence to procedure while running the operations by all officers of the organisation.
Identification of risks that may arise during work, action and or report them to the programme’s manager for action these may include program delivery risks, country risk third party risk among others.
Development of appropriate co-ordination of control surveillance services from processes Operational Risk and Compliance
Support on identifying and spotting avenues for Business continuity planning and recovery processes
Financial management oversight
Support the Co-ordination of specific administrative and operational budgets & strategic plans for implementation of the same.
Support the accounting and financial management function at the incubator including processing, following up on payments for vendors and any other related aspects as maybe assigned by the line manager.
Contribute to the long-term sustainability projects of the incubator from amongst the set work and operations.
Be keen to identify avenues that could improve efficiency and cost cutting for the organization and point these put to the respective line manager.
Customer care and people management
Engage both clients and fellow staff proactively and develop good, constructive working relationships with other members of the group.
Demonstrate a willingness to take on work and to take responsibility for and ownership of functional areas and any assigned projects/tasks
Gain a strong level of support and collaboration from the SUHL team members to ensure seamless support offered and accessed across the subsidiaries where any need arises. execution of priorities across all subsidiaries where need arises.
Offer front desk support in liaison with the program team and ensure smooth running of all front desk operations that are related to administration and operations.
Support the marketing function of the Incubator as shall be guided by the Line manager.
Specifically need to display courtesy, team-mindedness and diversity awareness considering the breadth of stakeholders necessary to influence and motivate in achieving the above tasks.
Qualifications, Skills and Experience
The applicant for the Stanbic Bank Officer Business & Admin job placement must hold a Bachelor’s degree in management, logistics, marketing ,equivalent or related field
At least three years’ experience in related field, planning, administration and leading on operations.
Excellent verbal, written and interpersonal communication skills
Demonstrated track record of project management, professional telephone skills.
Event management and organizational skills; a robust problem solver who doesn’t crumble under pressure.
Excellent leadership and people skills with demonstrated experience working with people of diverse back grounds.
Has independently run a and managed an independent project with little or no supervision.
Excellent knowledge and experience with digital collaboration tools and proficiency with All MS office applications.
Computer literacy; MS Office Applications
Good understanding of statistics and report collation
Knows how to question and probe for information
Business knowledge
Ability to work effectively both independently and as part of a team.
Experience using computers for a variety of tasks.
Competency in Microsoft applications including Word, Excel, and Outlook.
Knowledge file management, transcription, and other administrative procedures.
Ability to work on tight deadlines.
