Job Summary
The Quality Assurance Manager is responsible for ensuring that all operations within the dairy processing plant from milk reception to finished product storage and dispatch meet established quality, food safety, and regulatory standards. This role ensures that every stage of production complies with HACCP, ISO 22000, UNBS, and internal quality systems. The Quality Assurance Manager oversees laboratory analysis, inspection processes, documentation, and continuous improvement programs to guarantee product integrity and consumer safety. The position also supervises QA personnel, enforces hygiene standards, manages audits, and coordinates quality-related training for all departments.
Key Duties and Responsibilities
Quality Control and Assurance Operations
- Oversee all quality assurance activities across milk reception, processing, packaging, and warehousing.
- Ensure that raw milk, in-process materials, and finished products meet company and regulatory specifications.
- Supervise daily laboratory testing for microbiological, chemical, and physical parameters.
- Approve finished products for release to market after verifying compliance with quality standards.
- Implement quality sampling plans, inspection routines, and traceability systems.
Food Safety and Regulatory Compliance
- Develop, implement, and maintain the factory’s food safety management system (HACCP, ISO 22000, GMP).
- Ensure compliance with Uganda National Bureau of Standards (UNBS) and other relevant regulations.
- Coordinate internal and external audits, inspections, and product certifications.
- Prepare and maintain all QA documentation, including test results, deviation reports, and corrective actions.
- Investigate product non-conformities and consumer complaints, identifying root causes and implementing corrective measures.
Process Monitoring and Continuous Improvement
- Monitor production processes to ensure adherence to critical control points (CCPs) and standard operating procedures (SOPs).
- Collaborate with engineering, production, and procurement teams to identify and correct process deviations.
- Analyze quality data trends and initiate improvement programs to reduce rework, contamination, and product losses.
- Develop and update product specifications, test procedures, and quality manuals as needed.
Team Leadership and Training
- Supervise Quality Control (QC) officers, laboratory technicians, and hygiene teams.
- Conduct training for staff on quality standards, hygiene practices, and food safety procedures.
- Foster a culture of accountability, cleanliness, and continuous quality improvement.
- Evaluate team performance and ensure adequate staffing for all quality monitoring points.
Hygiene, Sanitation, and Warehouse Quality Oversight
- Supervise factory and equipment sanitation programs to maintain high hygiene standards.
- Monitor storage conditions for finished products to ensure quality and shelf-life integrity.
- Oversee inspection of packaging materials, storage areas, and transportation systems for compliance with GMP.
- Ensure pest control and housekeeping programs are consistently implemented and documented.
Documentation and Reporting
- Maintain up-to-date quality and food safety records for audits and traceability.
- Generate regular QA reports highlighting quality trends, deviations, and preventive actions.
- Report directly to management on product quality performance, compliance status, and improvement initiatives.
Qualifications, Skills and Experience
- Bachelor’s Degree in Food Science, Dairy Technology, Food Quality Management, or related field.
- 5–8 years of experience in dairy or food manufacturing, with at least 3 years in a supervisory quality assurance or laboratory role.
- Strong knowledge of milk testing, pasteurization standards, UHT processes, and product quality parameters.
- Proven experience managing HACCP systems, ISO certification processes, and regulatory compliance.
Knowledge, Skills, and Abilities
- In-depth understanding of dairy quality assurance and food safety systems.
- Strong leadership and team coordination skills.
- Excellent analytical, problem-solving, and documentation abilities.
- Proficient in Microsoft Office, ERP/QA systems, and statistical process control tools.
- Effective communication and report-writing skills.
- Ability to train and motivate cross-functional teams on quality best practices.

- Product quality compliance rate (% conformity to standards)
- Reduction in non-conformities and customer complaints
- Audit and certification performance (HACCP, ISO, UNBS)
- Percentage of corrective and preventive actions closed on time
- Raw milk acceptance/rejection rates and causes
- Sanitation and hygiene compliance score
- Finished product release timeliness and accuracy
