Job Summary
The Manager – Milk Procurement and Extension is responsible for overseeing all milk sourcing, supplier relationship management, and farmer support activities to ensure a consistent supply of high-quality milk to the Ruko Milk Factory. This role focuses on developing and maintaining a reliable network of milk suppliers and farmers, promoting good dairy farming practices, and ensuring compliance with quality and safety standards. The position also involves supervising field extension teams, collecting milk supply data, conducting farmer sensitization programs, and implementing initiatives that improve milk production, quality, and traceability across the supply chain.
Key Duties and Responsibilities
Milk Procurement and Supplier Management
- Plan and coordinate daily milk collection from farmers, cooperatives, and milk collection centers.
- Maintain an up-to-date database of all milk suppliers and collection routes.
- Monitor milk volumes, quality, and delivery consistency from all suppliers.
- Negotiate and manage supplier agreements in line with company procurement policies.
- Ensure prompt and transparent communication with suppliers regarding payments, quality standards, and delivery schedules.
Farmer Sensitization and Extension Services
- Organize and conduct farmer training sessions on good dairy farming practices, animal health, hygiene, and milk handling.
- Work with veterinary and extension officers to promote feed management, disease control, and breeding improvement.
- Sensitize farmers on the importance of quality milk production, hygiene, and cold chain management.
- Distribute technical information, manuals, and materials to farmers to enhance productivity and milk quality.
Quality Assurance in Milk Collection
- Supervise milk testing for quality and safety at collection centers before dispatch to the factory.
- Ensure that only milk meeting company and regulatory standards (UNBS, ISO, HACCP) is accepted.
- Investigate and resolve milk quality issues through field inspections and farmer engagement.
Data Management and Reporting
- Maintain accurate records of milk procurement volumes, supplier information, and payment data.
- Use digital tools or spreadsheets to track daily milk inflow and supplier performance.
- Generate regular reports on milk collection trends, supplier performance, and field activities.
- Analyze data to identify opportunities for increasing milk supply and reducing losses.
Supervisory and Team Coordination
- Supervise field extension officers, milk collection clerks, and transport staff.
- Assign field routes, monitor performance, and provide on-the-job coaching.
- Coordinate with other departments (Finance, Quality Assurance, Production) to ensure smooth operations from farm to factory.
Stakeholder Engagement
- Build strong working relationships with farmer groups, cooperatives, and local authorities.
- Represent the factory in community dairy development programs and stakeholder meetings.
- Foster long-term partnerships that strengthen the factory’s milk supply chain and reputation.
Qualifications, Skills and Experience
- Bachelor’s Degree in Animal Production, Dairy Science, Animal Husbandry, or related field.
- 3–5 years of experience in dairy farming, milk procurement, or milk processing operations.
- Experience working directly with farmers, cooperatives, or rural extension programs is highly desirable.
- Familiarity with milk quality standards, cold chain management, and supplier coordination in the dairy industry.
Knowledge, Skills, and Abilities
- Strong understanding of dairy farming systems and milk collection processes.
- Excellent communication, negotiation, and interpersonal skills.
- Ability to plan routes, schedule collections, and monitor milk volumes effectively.
- Proficiency in Microsoft Office (Word, Excel) and database management.
- Ability to lead field teams and manage multiple suppliers across different locations.
- Commitment to quality, transparency, and continuous improvement.
- Must be willing to travel frequently within milk-producing regions.
Key Performance Indicators (KPIs)
- Volume of milk collected vs. target
- Milk quality compliance rate (rejection levels, contamination rates)
- Farmer satisfaction and retention rate
- Number of farmers trained/sensitized on quality milk production
- Database accuracy and completeness of supplier records
- Reduction in milk collection losses (spillage, spoilage, transport delays)
- Timeliness and accuracy of supplier payments
