Job Summary
The Administration Assistant supports the Aquaculture Production Department by managing administrative tasks for Lake Operations, Hatchery, and Hardware units. Responsibilities include record-keeping, HR coordination, procurement support, and ensuring operational efficiency.
Key Duties and Responsibilities
File & Record Management
- Organize and maintain departmental files (physical and digital).
- Keep updated production activity records, maintenance logs, and compliance reports.
- Ensure secure storage and archiving of sensitive documents.
HR & Staffing Administration
- File and track staff leave applications, duty rosters, and attendance.
- Assist in hiring requisitions and staffing needs tracking.
- Maintain staff training, certification, and safety records.
Procurement & Requisition Support
- Prepare purchase requisitions for consumables, tools, and equipment.
- Track approvals and deliveries to ensure timely supply availability.
- Maintain inventory records for office/field consumables.
Transport & Logistics Coordination
- Organize transportation for staff, materials, and equipment.
- Maintain transport schedules and vehicle/boat allocation.
- Support field allowances, accommodation, and staff welfare coordination.
Communication & Reporting
- Draft internal communications, notices, and meeting minutes.
- Support weekly/monthly departmental report preparation.
- Liaise between Production, HR, Finance, and other departments.
Compliance & Safety Documentation
- File health, safety, and environmental incident reports.
- Maintain compliance checklists and certifications.
- Ensure audit readiness with organized departmental documents.
Qualifications and Skills
- Bachelor’s degree/Diploma in Business Administration, Office Management, or related field.
- 2+ years of administrative experience (aquaculture/agriculture preferred).
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational, communication, and multitasking skills.
